Terms of Service

These terms govern translation, interpreting and related services supplied by Prism Language Solutions. A written quote, once you confirm it, forms the contract for that job together with these terms. Where a quote and these terms differ, the quote wins for that job.

Quotes and confirmation

A quote states the price, the delivery date or appointment details, and what is included. It is valid for 30 days. Work begins when you confirm it in writing (email is fine) and, for new private clients, when payment is received. Changes to the job after confirmation (extra pages, a new deadline, a different venue) are quoted before the work continues.

Payment

Private individuals pay in advance by card or bank transfer. Firms, hospitals, agencies and other account clients are invoiced monthly on net 30 terms. Prices are in US dollars and exclude any sales tax that applies. Late invoices may carry interest at 1.5 percent per month.

Turnaround and delivery

Delivery dates in a quote are commitments, and we meet them. If a document turns out to be materially different from what was sent for quoting (illegible pages, additional documents, a different language), we tell you at once and agree a new date. Certified translations are delivered as PDF by email; hard copies by mail where ordered, at the postal service's speed.

Certification

A certified translation carries a signed Certificate of Translation Accuracy stating that the translation is complete and accurate to the best of the translator's knowledge and ability. We certify only translations we have produced. Whether a receiving body accepts a translation is that body's decision; we prepare translations in the format USCIS, US courts and universities specify, and if a translation we certified is queried on a matter of format or completeness we correct and re-issue it at no charge.

Interpreting bookings and cancellations

• On-site interpreting is billed with a two-hour minimum, in half-hour increments after that, from the booked start time. Travel is charged only outside the metro area and is stated on the quote.
• Cancellations more than 24 hours before the start time are free. Cancellations within 24 hours, no-shows, and assignments that end early are billed at the minimum. Cancellations within 48 hours of a full-day or multi-day booking are billed at half the booked time.
• If an interpreter is unable to attend, we supply a replacement or, failing that, waive the fee for that assignment. That is the limit of our liability for a missed booking.
• Interpreters interpret; they do not give legal, medical or other advice, complete forms, or act for either party.

Confidentiality

Everything you send us is confidential. Documents are shown only to the staff and linguists working on the job, each of whom is bound by a confidentiality agreement. We sign client NDAs and business associate agreements where they are required. How information is stored and for how long is set out in the privacy policy.

Accuracy and liability

We translate what the document says. We do not correct, complete or improve source documents, and a translation does not authenticate the original. If you find an error in a translation, tell us within 30 days of delivery and we correct it at no charge; that, and a refund of the fee for the affected work if a correction is not possible, is the full extent of our liability for any job. We are not liable for indirect losses, for decisions made by third parties on the basis of a translation, or for delays caused by information or documents that were incomplete when supplied.

Copyright

Once paid for, the translation is yours to use. The site's own text and design remain ours.

Law

These terms are governed by the law of the State of New York, and disputes are heard in the state or federal courts sitting in New York County. Last updated September 11, 2026.
