Privacy Policy

Prism Language Solutions collects the personal information you give us to quote for and deliver translation and interpreting services, and nothing else. Documents you send for translation are seen only by the project manager and the linguists assigned to the job, all of whom are bound by confidentiality. We do not sell personal information, and we delete source documents and translations on request once a job is complete.

What we collect

• What you type into the quote and contact forms: name, email address, phone number, company, the languages and service you need, dates and locations for interpreting, and any notes.
• Documents you upload or email for translation, which may contain personal information about you or other people, including sensitive information (medical, legal, immigration, financial).
• Technical information sent by your browser: IP address, browser type, the page you were on when you submitted a form. Server logs keep this for security and troubleshooting.
• Analytics, where enabled: Google Analytics records pages viewed and approximate location in aggregate. You can block it with a browser setting or extension; the site works without it.

Why we use it

To prepare your quote, to do the work you commission, to invoice for it, to answer your questions, and to keep records of what we translated and for whom for as long as the law and our professional obligations require. Documents are used only to translate them. We do not use client documents to train machine translation systems and we do not submit them to public AI services.

Who sees it

Project managers at the office, and the translators, reviewers and interpreters assigned to your job, each under a confidentiality agreement. Service providers that host our email, website and file storage, on our instructions. A notary, if you ask for notarization. Nobody else, unless the law requires it. We do not sell, rent or trade personal information.

How long we keep it

Quote requests that do not become jobs are deleted after twelve months. For completed jobs we keep the translation, the source document and the correspondence for seven years, because clients regularly ask for a re-issued certificate or a copy years later and because our records may be needed if a translation is challenged. If you want the documents deleted sooner, tell us in writing and we delete them, keeping only the invoice and a note that the job was done.

Your choices

• Ask what personal information we hold about you and receive a copy.
• Ask us to correct it, or to delete documents and personal information we no longer need to keep.
• Ask us not to contact you about anything other than the job in hand. We do not run marketing email lists.
• Residents of California and other states with consumer privacy laws have the rights those laws provide, and we honor them without asking you to prove which state you live in.

Security

The site is served over HTTPS. Uploaded documents are stored on access-controlled systems and sent to linguists over encrypted channels. No system is perfectly secure; if we learn of a breach affecting your information we will tell you promptly and say what we know.

Cookies

The site sets no cookies of its own. Google reCAPTCHA on the forms and Google Analytics, where enabled, set their own; their policies are published by Google.

Changes to this policy

This policy was last updated on September 11, 2026. If we change it materially we will change the date and, for active clients, say so by email.
